1. Our Commitment
The Pivot Conference is committed to creating an inclusive and welcoming event for disabled attendees and for anyone who may need additional support to participate fully.
We will consider reasonable adjustment requests fairly and work with Imperial College London, our event suppliers and the attendee to identify practical arrangements.
This statement relates specifically to The Pivot Conference taking place on 29 September 2026.
2. Event Details

3. Requesting Accessibility Support
Attendees who need an adjustment or additional support should contact us as early as possible at info@thepivotconference.com.
Please include:
- your name;
- your booking reference, if available;
- the adjustment or support you require;
- any access barrier you are concerned about;
- your preferred method of contact; and
- any relevant deadline.
You do not need to provide more medical information than is reasonably necessary for us to understand and respond to your request.
Late requests will still be considered, but some arrangements may require advance notice or confirmation from the venue or an external provider.
4. Venue Access
Once the final Imperial College London campus and building have been confirmed, we will provide available information about:
- step-free routes;
- accessible entrances;
- lifts;
- accessible toilets;
- drop-off points;
- nearby accessible parking, where available;
- public transport access;
- registration and check-in location;
- room access; and
- emergency evacuation arrangements.
We will publish or send this information before the event once it has been confirmed with the venue.
5. Seating and Movement
We will consider requests for:
- accessible seating;
- reserved seating;
- seating near an entrance or exit;
- additional space for mobility equipment;
- space for a personal assistant or support person;
- seating near a hearing-support system, where available; and
- permission to move, stand or leave and return to the room where this can be accommodated safely.
Seating arrangements may depend on the final room layout, venue restrictions and the nature of the request.
6. Hearing, Communication and Visual Access
Subject to availability, notice and what is reasonable in the circumstances, we will consider requests relating to:
- hearing-loop or assisted-listening facilities;
- live captions;
- British Sign Language interpretation;
- reserved seating with a clear view of the stage or screen;
- large-print or digital materials;
- advance access to essential event information; and
- alternative communication formats.
We cannot guarantee that every form of communication support will be available, particularly where specialist providers require significant advance booking, but we will discuss reasonable alternatives.
7. Assistance Dogs
Assistance dogs are welcome, subject to applicable venue safety requirements.
Please contact us before the event so that we can confirm access routes, seating and any practical arrangements with the venue.
We may ask for information needed to make the arrangements, but we will not require unnecessary medical details.
8. Personal Assistants and Support Persons
An attendee who needs a personal assistant, carer or support person in order to attend should contact us before purchasing an additional ticket.
We will consider the request individually and explain any available companion-ticket or registration arrangements.
A support person remains responsible for their own conduct and must comply with the event’s Ticket Terms and Event Code of Conduct.
9. Quiet Space and Sensory Considerations
We will ask the venue whether a quiet or lower-stimulation area can be made available.
Attendees may also request information about:
- lighting;
- sound levels;
- crowded periods;
- break times;
- room layout;
- the use of photography or filming;
- whether movement in and out of sessions is permitted; and
- other sensory considerations.
Availability will depend on the final venue layout and operational arrangements.
10. Food, Allergies and Dietary Requirements
Where food or refreshments are provided, attendees may submit relevant dietary, allergy or access information through the ticketing process or by emailing us.
We will share necessary information with the relevant catering or venue team so that they can assess the request.
We cannot guarantee an entirely allergen-free environment, particularly where food is prepared or served by external providers, but we will seek clear information and reasonable options where possible.
11. Medication and Medical Needs
Attendees are responsible for bringing and managing their own medication and medical equipment.
Please contact us if you need a reasonable arrangement relating to storage, seating, access, timing or another event-related issue.
In an emergency, venue staff or emergency services may need to act in accordance with their procedures.
12. Event Materials
We aim to make essential event information available in accessible digital formats.
On request and where reasonably practicable, we will consider providing:
- large-print materials;
- plain-text versions;
- accessible Word documents;
- structured digital copies;
- speaker or schedule information in advance; and
- another appropriate format.
Materials supplied by external speakers or partners may not always be fully accessible, but we will work with them where possible to provide a suitable alternative.
13. Photography and Filming
Photography, filming and audio recording may take place during The Pivot Conference.
Attendees who do not wish to appear in identifiable close-up photography or filming should contact us before the event or speak to the registration team on arrival.
We will take reasonable steps to respect the request but cannot guarantee exclusion from all wide-angle, crowd, incidental or live footage.
14. Emergency and Evacuation Arrangements
Emergency procedures will be led by Imperial College London and the relevant venue team.
Attendees who may need assistance during an evacuation should contact us in advance so that we can discuss available arrangements with the venue.
On arrival, attendees should follow venue instructions and tell the registration team about any agreed evacuation support.
15. Ticketing and Eventbrite
Tickets are purchased through Eventbrite.
If an accessibility barrier prevents you from using Eventbrite, email info@thepivotconference.com. We will consider a reasonable alternative route or provide support.
Please do not send payment-card details by email.
16. Changes to Accessibility Arrangements
Accessibility arrangements may need to change if the venue, room layout, programme, supplier availability or safety requirements change.
Where a confirmed arrangement is materially affected, we will contact the attendee as soon as reasonably possible and discuss an alternative.
17. Complaints or Concerns
Please contact us if you believe an accessibility request has not been handled fairly or if you experience an accessibility problem at the event.

- the issue;
- what happened;
- the outcome you are requesting; and
- any urgent deadline.
We aim to acknowledge accessibility complaints within five working days and provide a substantive response within 20 working days where reasonably possible.
